Mavenlink is looking for an HR Specialist to be part of a growing Human Resources team. 

The Right Candidate
  • Has the desire to grow their knowledge and professional experience in the field of HR and is attracted to fast-paced work environments

Responsibilities
 
  • Responsible for new hire onboarding including reference checks, background checks, and new hire training coordination
  • Maintains and owns HRIS and employee data for the company to include data entry, data hygiene, and BI (reporting). Is viewed as the department’s system expert on the software platform utilized to house all employee data
  • Prepares and maintains weekly and monthly reports including headcount, turnover, transfers, promotions, etc.
  • Owns and drives compliance with all record keeping to include employee files (hard and soft) and data is up to date and accurate on an ongoing basis
  • Maintain company organizational charts and reporting
  • Maintains compliance with federal and state regulations concerning employment
  • Manage I-9 forms and documentation; maintain all I-9 files
  • Is a department expert on Mavenlink’s Employee Health and Welfare Benefits
  • Assists with Open Enrollment, communication, and benefits administration. Fields employee questions and works closely with the company’s benefits broker to resolve issues
  • Manage immigration process, including visa transfers and renewals in coordination with Immigration attorneys
  • Develops and maintain communications in a cooperative and professional environment within the department and across all functions within the organization
  • Operates as the first point of contact for employees and operates as a brand ambassador of Mavenlink and the HR Department
  • Organize, schedule, and support training efforts such as anti-harassment training
  • Support the Recruitment team with interview scheduling, calendar coordination, and managing candidate travel   
  • Facilitates employee offboarding, responsible for updating systems with associated paperwork and updating HRIS with required information
  • Integrate systems between BambooHR, ADP, and BeneTrac
  • Manage personal and medical leave of absences across multiple offices
  • Assist in reviewing international contracts for London and Melbourne offices
  • Performs other duties as assigned

Experience and Skills 
  • 4-year undergraduate degree required
  • 3-5 years of Human Resources or comparable experience
  • Must have experience managing HRIS 
  • Has a demonstrated track record of problem-solving, involving resolutions that result in positive outcomes
  • Proven experience and comfortable working with multiple levels within an organization, group or outside vendors
  • Excellent verbal and written communication skills
