Q: Sean Crafts (Mavenlink Co-Founder) - Can you tell us a little about your business?
A: Olivia O'Toole - I am an independent Real Estate Virtual Assistant, providing administrative and marketing support for listings and sales at my company, REVAlution. I work with multiple agents, and so I am generally handling at least a dozen listings (or more) and anywhere from 5-15 transactions (accepted offer to close of sale) at one time.
This allows the agents to dedicate their time to growing their business, instead of spending all of their time on data entry and paperwork, and it provides all the parties in a transaction with a dedicated point of contact throughout, minimizing confusing and ensuring important dates and details don't get missed.
I have one person who works with me as a listing specialist and admin support. She helps me get new projects set up in Mavenlink for project tracking, and ensures that new listings get all the exposure necessary.
I've been in business since the beginning of 2011, and in that time I've gone from working just a few hours a week to working four full days a week (and some evenings/weekends). I do this around my three kids, ages 2,4 and 6. :)
Q: Sean - How did you find Mavenlink?
A: Olivia - Over the course of the last year, I have gone through a lot of project management and transaction management software. Some of it was real estate specific and some not, but in each case I found that it was either too specific to serve my needs (most real estate software is aimed at agents, not transaction coordinators for multiple agents) or far too complex. Also, I could not find one that integrated with Google the way I wanted it to, which was frustrating.
Finally, when looking through the Google Apps Marketplace, I came across Mavenlink. Just from reading the description I was optimistic, but I often was when I first started using a program. But once I got into it and started using it, I was even more excited. It is simple enough to use without being confusing, integrates dates and tasks right to my Google Apps products, and allows me to keep my clients in the loop every step of the way.
For the first time since starting this business, I feel like I am spending more time getting things done than figuring out what I have to do to. It's a good feeling.
Q: Sean - What pain points has Mavenlink solved for your business?
A: Olivia - The major pain point that Mavenlink has solved is knowing what tasks I need to take care today, tomorrow, etc. It's very easy to set up a project, and once set up I never have to worry about forgetting a key milestone, task or deliverable. Being able to sync to my task list is fantastic!
The other pain point is keeping my clients up to date regarding what is happening with their transactions - this way they can see for themselves, and leave notes for me.
Q: Sean - Please explain the Results of using Mavenlink and Google Apps.
A: Olivia - I use GMail, Google Docs, Google Calendar, Google Tasks, and Google Voice. With Mavenlink, my Google Task list is populated and I can pull up all my to-dos on my Google Calendar. Also, inviting clients in is easier with Mavenlink because it already has all of my Google Contacts.
Q: Sean - Anything else you want to tell us or features you’d like to see?
A: Olivia - I'd say the major thing I would like Mavenlink to offer is a way to preset task dates in relation to milestones. That would allow me to just enter a few key dates, and have the tasks automatically assigned to the appropriate dates. Having to put in each date does add some time to the process of starting a new project.
